Zoho CRM vs Freshworks CRM: Which to Pick in India

Two India-origin CRMs, neither with a published rupee rate card. Here is how Zoho CRM and Freshworks CRM really differ, and which one fits your team size.

Pick Zoho CRM if your revenue is in rupees and you already run, or expect to run, other Zoho products such as Books, Desk or Marketing Automation — the free suite integration and INR billing with an 18% GST invoice are the genuine advantage. Pick Freshworks CRM if you have a two-to-twenty-five-seat sales team, one person who can own the configuration, and you want email, telephony and outbound sequences working in days rather than weeks. We have not published verified rupee seat prices for either product, so get both quotes in writing before you sign anything.

Zoho CRM

Not published

Solo founder or a two-to-five person team. We have not costed Zoho CRM seats at any size; for scale, Zoho Marketing Automation at 1,000 contacts runs about ₹1,000–1,600 a month.

Freshworks CRM

Not published

Tier shape only, not a rate card. Assumes a small inside-sales team on a single pipeline; we have not costed this tier.

The short answer

Choose Zoho CRM if you bill in rupees and the rest of your stack is, or will be, Zoho — the suite integration is free, the billing is local, and the India data centre shortens data-residency conversations. Choose Freshworks CRM if you have a small inside-sales team, one admin who owns the setup, and you want pipelines, email and calling working quickly without much configuration work.

One caveat that applies to both: LearnMarketing has not published a verified rupee seat price for either CRM, so treat the price question as unanswered here and get written quotes.

How they differ on cost

Here is what we have actually costed for each product. Everything marked “Not published” means exactly that — we have not priced it, and we are not going to put a number in the gap.

Tier Zoho CRM Freshworks CRM
Starter (solo to five people) Not published. CRM seats uncosted. Nearest sourced anchor: Zoho Marketing Automation at 1,000 contacts, roughly ₹1,000–1,600 a month Not published
Growth (defined pipeline, outbound follow-up) CRM seats not published. The ≈ ₹4,000–6,000 a month band covers Zoho Marketing Automation at about 10,000 contacts only Not published
Enterprise (multi-team rollout) Not published. Our only anchor at this scale is Zoho Marketing Automation at 50,000 contacts, roughly ₹13,000–20,000 a month Not published; quoted case by case by the vendor
How you are billed INR invoice with 18% GST (Goods and Services Tax) and a GSTIN you can enter in billing settings; India data centre option Per-seat subscription with optional modules and AI add-ons, not contact volume. We have not verified the India rate card

What drives the bill is different in each case. With Zoho, the trap is product naming: Zoho CRM, Zoho Marketing Automation and Zoho Campaigns are three separate purchases, and the rupee bands above belong to the marketing products, not the CRM. If you want lead scoring, multi-step journeys and web behaviour tracking, that is the Marketing Automation licence on top of your CRM seats; if you only want email sending, Zoho Campaigns sits around ₹1,500–3,000 a month at about 10,000 contacts.

With Freshworks, the trap is modules. The seat price rarely equals the invoice, because the total depends on which modules and which Freddy AI features are switched on — and AI scoring is gated by plan. Ask for a quote that names seat count, every module, the contract term and the GST treatment, then compare totals rather than headline seat rates.

Neither vendor’s licence covers the costs that actually hurt: channel spend on WhatsApp, SMS and email volume sits outside both, and so does implementation and data migration labour.

Where Zoho CRM: Features, India Pricing & Alternatives wins

Local commercials, without caveats. Zoho is an Indian company. It invoices in rupees, shows its GST identification number, charges 18% GST that a registered business claims back as input tax credit, and offers an India data centre — which is the shortest route through a Digital Personal Data Protection (DPDP) Act, 2023 review. There is no forex markup and no reverse-charge paperwork.

The suite is the real argument. If you already run Zoho Books or Zoho Desk, the CRM integration is free and the data moves without a middleware layer. That is a structural advantage no feature checklist captures, and it is why Zoho is the default cross-shop for rupee-earning teams.

Cheapest credible path to a shared pipeline. For a five- to twenty-person B2B (business-to-business) team in SaaS, edtech, financial products or real estate, Zoho is the usual way to get a proper deal record without signing a dollar-billed contract.

Marketing depth is available when you need it. Lead scoring and journeys exist in the family — as a separate licence, at the bands in the table above — so you can grow into them rather than bolting on an unrelated vendor.

Where Freshworks CRM Review for Indian Teams wins

It is faster to configure, and the interface is better. Our pricing work states Zoho’s clunkier interface plainly as the trade-off for its cost advantage. Freshworks — sold today under the Freshsales name — is built for teams that want something quicker to stand up than a full enterprise suite, and that difference shows up in week one.

Built-in email and telephony. Threads and calls attach to the record without a third-party dialler, which matters if your team lives on the phone. Sales sequences for multi-step outbound follow-up come with the product rather than requiring a separate marketing licence.

Reporting that sales managers actually use. Dashboards split by pipeline, owner, stage and source, plus web forms and chat capture writing into the same database, cover most of what a twenty-seat sales team asks for.

India-origin support hours. Freshworks runs a large engineering and support presence in Chennai, which in practice tends to mean coverage that overlaps the Indian working day. Confirm rupee invoicing, GST treatment and local support terms directly — we have not verified those commercially.

Which to pick at your stage

Solo founder to five people. Zoho. Our stack guidance is to default to it if your revenue is in rupees, and skip anything heavier — below roughly 100,000 customer records or fewer than four meaningful data sources, a customer data platform does not pay for itself. A CRM plus a marketing tool covers the same ground for far less.

Five to twenty-five seats with a real sales motion. This is the genuine contest. If deals are worked by humans over weeks and you have one admin who can own configuration, Freshworks usually gets you to a working pipeline faster. If finance already runs Zoho Books, or you expect to add journeys and scoring within the year, Zoho wins on total stack cost.

Twenty-five seats and up, or complex requirements. Neither is costed here at that scale, and Freshworks starts to strain on heavy customisation, territory rules and multi-region rollouts — the point where buyers move to Salesforce and pay for it. Ask both vendors for enterprise quotes and include partner implementation fees in the comparison.

Consumer apps at mid-market scale. Neither, as your primary buy. With one lakh to twenty lakh monthly active users and marketing that is mostly push and WhatsApp, your money goes to an engagement platform — WebEngage, MoEngage and CleverTap run ₹6–25 lakh, ₹8–35 lakh and ₹10–40 lakh a year respectively at mid-market scale.

What neither does well

Neither is a customer data platform. There is no real identity resolution across anonymous and known behaviour, and no warehouse-native activation in either product. If that is your actual gap, a CRM will not close it, and the implementation bill for the thing that does is substantial — see how much a CDP implementation actually costs before you reframe the purchase.

Both are also thin on lifecycle marketing. Zoho pushes you to a separate Marketing Automation licence; Freshworks keeps campaign building and segmentation as the junior partner, so teams running serious lifecycle programmes bolt on another tool anyway. Budget for that second product rather than discovering it in month three.

And the limitation that outlasts both: a CRM does not fix an empty funnel. If you send one campaign a month to 3,000 people, neither tool changes the outcome — content, list growth and media come first, and first-party data discipline decides whether the records inside are worth anything.

Frequently asked questions

Which is cheaper in India, Zoho CRM or Freshworks CRM?

We cannot answer that from published figures, because LearnMarketing has not costed seats for either product. Zoho is generally the cheaper cross-shop for Indian teams, at the cost of more configuration work, and it bills in rupees with 18% GST you can reclaim. Freshworks prices per seat with optional modules and AI add-ons, so the seat rate alone understates the invoice. Get both quotes in writing.

Do both vendors invoice in rupees with GST?

Zoho does. It is an Indian company that bills in INR, charges 18% GST and shows its GST identification number, so a registered business claims the tax back as input tax credit and the base price is the real cost. Freshworks is India-origin with a large Chennai presence, but we have not verified its rupee invoicing or GST treatment commercially — confirm both with their sales team before you plan a budget.

Is Freshworks CRM easier to set up than Zoho CRM?

Generally yes. Freshworks is designed for small and mid-sized teams that want faster configuration than a full enterprise suite, with email, telephony, workflow automation and sales sequences built in. Zoho’s interface is clunkier — that is the documented trade-off for its cost advantage — and its agency-partner ecosystem in India is thinner than HubSpot’s, so hiring outside help to configure it is harder.

What should I ask for in a quote from either vendor?

Ask for one written total, not a seat rate: exact seat count, every module and AI feature you need switched on, contract term, and the GST treatment on the invoice. For Zoho, confirm separately whether you are buying CRM alone or also Marketing Automation for lead scoring and journeys — they are different products. For both, add implementation and data migration labour, plus WhatsApp, SMS and email channel costs, which no licence covers.
